VOL. 03 / Available engagement

The Week-Long Month

The numbers are assembled by hand from several systems. It takes days, two teams quote different figures for the same month, and by the time the pack is ready the decision it was built for has already been taken on instinct.

Volume III · Business intelligence & reporting

The Week-Long Month

Two departments, two revenue figures, and a meeting that has already moved on.

The problem

Replace fragmented monthly reporting with one dependable management view. Right now the numbers are assembled by hand from several systems, two departments quote different figures for the same month, and by the time the pack is ready the meeting it was built for has moved on.

Who it is for

Owner-managers and finance leads who have outgrown spreadsheets but do not need — and should not buy — an enterprise data platform.

What you end up with

A small set of metrics everyone agrees on, computed the same way every time, from sources that have been reconciled.

  • An assessment of your source data: what is trustworthy, what conflicts, and what is missing.
  • Written KPI definitions — the exact calculation and the source for each, so two people cannot compute it differently.
  • A reporting view built on those definitions, refreshed on a schedule rather than by hand.

What you end up with

  • The reconciliation notes explaining any figure that differs from what a system used to report.

Evidence record

This is the service with the least published evidence behind it, and I would rather say so than pad it. What I can show is the approach: the demo portal applies the same principle to a single statement, exposing every figure with the rows it came from instead of asking you to trust the total.

Process · 01

Start by identifying the decisions your team needs to make, then work backwards to the smallest set of metrics that would inform them.

Discovery
A decision list and a candidate metric set, deliberately short.

Process · 02

Reconcile the source data and find where the systems disagree. This is usually where the real problem turns out to be.

Diagnostic
Source-data assessment, KPI definitions, and reporting priorities.

Process · 03

Build the view on the agreed definitions, with the refresh automated and the lineage visible.

Delivery
The reporting view, its data pipeline, and documentation of every definition.

Process · 04

Your team owns it, including how to add a metric without breaking the ones already agreed.

Handover
Documentation, a walkthrough, and the procedure for changing a definition.

Data provenance

  • Access to the systems the numbers come from, read-only.
  • Whoever currently assembles the report — they know where the bodies are buried.
  • The existing reporting pack, however imperfect.
  • A decision-maker who can settle what a metric means when two departments disagree.

What is in scope

  • Source reconciliation, metric definition, pipeline and reporting views.
  • Automating a report that is currently assembled by hand.
  • Making a figure traceable back to its source rows.

Limitations

  • Replacing your accounting or ERP system.
  • Statutory or regulatory reporting, which belongs with your accountant.
  • A dashboard for its own sake. If the decisions do not need it, I will say so.

Have a problem shaped like this?

Reporting diagnostic

A source-data assessment, KPI definitions, and reporting priorities.

We already have dashboards nobody looks at. How is this different?

Those usually start from what the data can show rather than from a decision. Starting from the decision is what keeps the metric set small enough to maintain and relevant enough to open.

Which tool will you use?

Whatever you already have, wherever that works. Introducing a new platform is a cost your team carries afterwards, so it needs a reason beyond my familiarity with it.

Our two systems disagree about revenue. Can you fix that?

I can find where they diverge and document it precisely. Deciding which one is right is a business judgement, and it stays with you.

Is this statutory reporting?

No. This is management reporting for internal decisions. Statutory accounts stay with your accountant.

Approach

  • SQL
  • Python
  • Power BI
  • KNIME
  • Excel

Spending the first week of every month assembling a report?

Tell me which decisions it feeds and where the numbers come from.

Discuss a reporting diagnostic

Nothing on this site is accounting, audit, tax, legal or investment advice, and no figure here is a promise of a result. Where a number appears, its source and its limits appear with it.
